This statement explains what information we collect through mindsfy.nz, why we collect it and how you can contact us about it.

What we collect

We collect only the information reasonably needed to respond to enquiries, provide services and operate the Mindsfy portal. Depending on how you work with us, this may include:

• your name, email address, company and contact details;
• information you include in an enquiry, brief, support request or message;
• account and profile information used to access the portal;
• documents and other files you choose to upload; and
• limited technical and security information needed to operate and protect the website.

How we use it

We use personal information to respond to you, assess and deliver work, manage client and staff access, maintain project records, provide support, protect our systems and meet legal obligations. We do not sell personal information.

Service providers

We use trusted service providers for website hosting, authentication, secure data storage, file storage and email delivery. These providers may process information outside New Zealand. We limit access to what is needed to provide the relevant service and expect appropriate safeguards to be maintained.

Storage and retention

We retain information only for as long as it is needed for the purpose for which it was collected, to maintain an appropriate business record or to meet a legal obligation. We take reasonable technical and organisational steps to protect it from loss, misuse and unauthorised access.

Cookies and local storage

The public website does not currently use advertising cookies. The portal uses essential browser storage to keep authorised users signed in and remember which in-system notifications they have read. If we introduce non-essential analytics or advertising tools, we will update this statement and provide appropriate controls.

Links to other services

Our website may link to services such as WhatsApp and Facebook. Those services operate under their own privacy terms once you leave our website.

Your rights

You may ask for access to the personal information we hold about you or request a correction. You may also raise a concern about how your information has been handled.
